Look, we get it - nobody actually enjoys reading privacy policies. But here's the deal: at Ignithral Nexus Fitness, we're not about collecting your data for the sake of it. We only grab what we need to make your training experience smooth and keep our facility running safely.

This document covers everything about how we handle your personal info, what rights you've got under Canadian privacy laws (PIPEDA, if you're curious), and what you're agreeing to when you walk through our doors or sign up online.

Bottom line? We're not selling your email to sketchy supplement companies or sharing your workout stats with anyone who doesn't absolutely need to see them. Your trust matters more than a quick buck.

Personal Details

When you sign up, we'll need the basics - name, email, phone number, address, birth date, and emergency contact info. Pretty standard stuff, and honestly it's just so we can reach you if there's a scheduling change or, god forbid, an emergency.

Health & Fitness Information

We'll ask about your fitness level, any injuries or medical conditions, and your training goals. Our coaches use this to keep you safe and actually help you reach your targets. If you're working with a personal trainer, they might track your progress metrics too - weights lifted, times, mobility assessments, that kind of thing.

Payment Info

Credit card details, billing address - you know the drill. We use secure payment processors, so we're not actually storing your full card numbers on our systems. That's handled by companies who do this for a living.

Usage Data

When you check in, we log it. Not to spy on you, but to manage capacity and make sure we're not overcrowded. Plus it helps us figure out which classes are crushing it and which ones need some love.

Communications

Emails you send us, messages through our booking system, feedback forms - we keep these to provide better service and resolve any issues that come up.

  • Managing your membership - processing payments, tracking your access, handling renewals or cancellations
  • Providing training services - our coaches need your fitness info to program workouts that won't wreck you
  • Communication - class schedule updates, facility closures, special events, occasional promotions (you can opt out anytime)
  • Safety & security - monitoring facility access, investigating incidents, maintaining a safe training environment
  • Improving our services - analyzing which programs work, what times are busiest, how we can serve you better
  • Legal compliance - tax records, business licenses, responding to legitimate legal requests

We're pretty tight with your info. Here's the short list of who might see it:

Service Providers

Payment processors, email service providers, booking system software - basically the tech companies that help us run the business. They're all under strict contracts to protect your data.

Emergency Contacts

If something happens and you need medical attention, we'll contact the person you listed. That's literally why you gave us their info.

Legal Obligations

If we're legally required to hand over info - court orders, regulatory requirements, that sort of thing - we will. But we'll notify you unless we're prohibited from doing so.

Business Transfers

If we ever sell the gym or merge with another facility (not planning on it, but you never know), your membership info would transfer to the new owners. We'd let you know beforehand.

By using Ignithral Nexus Fitness facilities or services, you're agreeing to play by these rules:

Facility Usage

You agree to use our equipment properly, respect other members, follow posted safety guidelines, and not be a jerk. Pretty simple. If you break or damage equipment through misuse, you might be responsible for repair costs.

Age Requirements

You gotta be at least 16 to train here. If you're 16-17, we need a parent or guardian's written consent. No exceptions on this one - insurance rules.

Code of Conduct

Don't harass other members or staff, don't show up intoxicated, don't film people without permission, clean up after yourself. Basic human decency stuff. We reserve the right to revoke membership for violations.

Intellectual Property

Our workout programs, branding, class formats - that's our intellectual property. You can't reproduce or sell our stuff. If you're a coach and wanna share something on social media, just ask us first.

Payment Terms

Monthly memberships are billed on the same day each month. If your payment fails, we'll try again in 3 days. After that, your access gets suspended until you sort it out.

Cancellation Policy

You can cancel anytime, but we need 30 days notice. So if you cancel on January 15th, you're paid up through February 14th. No partial refunds for unused days - we're not that kind of operation.

Membership Freeze

Need to pause your membership for injury, travel, or life stuff? You can freeze for up to 3 months per year. Just give us 7 days notice.

Price Changes

We might adjust membership prices occasionally. If we do, current members get 60 days notice before the new rate kicks in.

Real talk: High-intensity training involves risk. You're lifting heavy things, moving fast, pushing your limits. That's kinda the point.

By training here, you acknowledge that:
  • Physical exercise carries inherent risks including but not limited to muscle strains, sprains, tears, fractures, and in extreme cases, more serious injury
  • You're responsible for knowing your own limits and listening to your body
  • You've consulted with a doctor if you have any pre-existing conditions that might affect your ability to train safely
  • You'll inform coaches immediately if something doesn't feel right
  • You're choosing to participate voluntarily and at your own risk

We're not liable for injuries that occur during normal use of our facility or participation in classes, unless caused by our gross negligence. We maintain liability insurance as required by BC law.
